Voyageur Trades Program – Program Administrator
The Role
Position Overview
The Voyageur Trades Program – Program Administrator for the Voyageur Trades Program will provide comprehensive administrative and clerical support to the Voyageur Trades Program – Manager. This role is critical in supporting the initial setup and ongoing administration of the Voyageur Trades Program centre operations. The Voyageur Trades Program – Program Administrator ensures accurate record-keeping, contract administration, efficient coordination of program activities, and effective communication across internal and external stakeholders.
Administrative & Office Support
- Provide day-to-day administrative support to the Voyageur Trades Program Manager and the Voyageur Trades Program team.
- Assist in establishing and maintaining administrative systems, filing structures, and workflow processes during the center start-up phase.
- Prepare correspondence, meeting materials, agendas, minutes, and general documentation.
- Manage calendars, schedule appointments, and coordinate internal and external meetings.
- Respond to general program inquiries and direct requests to appropriate staff.
- Greet and track visitors to the Voyageur Trades Program facility.
Program Tracking & Record Management
- Track apprentice hours, ensuring accuracy and timely collection of information from apprentices and instructors.
- Maintain logs and reporting systems for:
- Operational expenses
- Project and program expenses
- Supplies and inventory tool
- Vehicle use (pre-trip and post-trip reporting), fuel use, and mileage logs
- Service contracts and vendor agreements
- Assist in ensuring compliance with organizational, funding, and regulatory reporting requirements.
Reporting & Data Management
- Compile, organize, and analyze program data to support decision-making.
- Prepare routine and ad-hoc reports for the Voyageur Trades Program Manager, senior leadership, and funders as required.
- Conduct post-job surveys, capture feedback, and summarize findings in written or data-based reports.
- Update databases, spreadsheets, and digital platforms to ensure current and accurate information.
Program Operations Support
- Compile relevant Occupational Health and Safety (OH&S) policies and develop program-specific policy manuals in collaboration with the Voyageur Trades Program Manager.
- Prepare and process standardized contracts, ensuring accurate integration of project-specific details for review by the Voyageur Trades Program – Manager
- Support the procurement of tools, supplies, and equipment, including maintaining inventory levels and tracking usage.
- Assist with vendor communications, contract renewals, and service arrangements.
- Support events or workshop logistics such as booking rooms, preparing materials, and coordinating participants.
To Fit the Role
Qualifications & Skills
- Post-secondary education in Office Administration, Business Administration, or related field (or equivalent experience).
- 2+ years of administrative experience, preferably in a trades program, training, or educational environment.
- Strong organizational, record-keeping, and time-management skills.
- Proficiency with MS Office Suite (Excel, Word, Outlook), data tracking tools, and digital record-keeping systems.
- Ability to work independently, manage competing priorities, and maintain accuracy.
- Strong communication and interpersonal skills.
- Experience working in Métis or Indigenous communities considered an asset.
Working Conditions
- Based on site at the Voyageur Trades Program centre.
- Centre includes office as well as warehouse area
- Requires occasional lifting or movement of tools, supplies, or equipment as part of inventory handling.
- Occasional travel may be required.
- Other duties as required.
